A surveyors company based in South West London are on the lookout for an articulate and organised Booking Coordinator to join their growing team.
The client is looking for someone who has strong communication skills and someone who has office experience.
The main purpose of a Booking Coordinator is to:
Diary management
Process card payments or raise and send invoices for payment.
Ensure all jobs are allocated to be carried out as soon as possible and where necessary
To keep the diary completely up to date, ensuring any changes or amendments are recorded.
Update the daily banking log each day with all invoice number and payments taken by Credit/Debit Card.
Update all BAC payments received onto quest and file the BAC print out with the appropriate invoice
Send receipted invoices to banks once the BAC payment has been received
To send email confirmation of the appointment to the client detailing; the date of inspection, confirmation of payment, the Surveyors details and attaching the company’s terms and conditions of engagement
All jobs to be booked in accurately and recorded on the target board and all necessary information to be entered.
Ensure that the board is up to date at all times, any amendments made, cancellations or jobs on hold noted.
Accurately enter the details onto the manual invoice sheet.
Daily check of Quest print out of jobs booked against the target board.
Booking Checklists to be filled out for each job and kept up to date.
Log all Terms and Conditions of Engagement when returned by the client
Booking Coordinator Specification:
Strong verbal and written communication skills
To have administration and office based skills.
Strong time management skills
To have high attention to detail and to have a good telephone manner
To be highly organised
Able to multitask and prioritise workflows
